Contest Terms and Conditions 2016

General information

1. Tonen2000 means the board of Tonen2000.

2. Tonen2000 edition 2016 will take place in the city of Westland, Netherlands, from Friday 30 September to Sunday 2 October, 2016.

3. This festival includes the following elements:

  • An opening concert
  • Competition Secular Music
  • Competition Sacred Music
  • Competition Folklore Music
  • A church service with possibility to participate in the service
  • An official award ceremony
  • A closing concert

4. Each choir is required to participate in at least two competition elements of their own choice and the opening concert. Each choir is free to take part in the other elements. Please indicate your choice of element(s) in the registration form.

5. In order to take part in the competition for the overall prize, a choir must participate in all three competition elements.

6. Registration fee for the competition  is € 295,-. Participation in the other elements is free of charge.

7. This Choir festival is open for:

  • Mixed Choirs consisting of  max. 36 members
  • Choirs with equal voices, female- or male choirs consisting of max. 24 members
  • Children’s choirs

8. There are no age limits for participants.

9. The choirs must be amateur choirs.

10. Performers cannot claim compensation for being recorded for a CD or a DVD,  for being broadcasted by radio or television, or photographedduring the festival. .
All copyrights for any recordings,broadcasts or pictures made or taken during the festival belong to Tonen2000.

11. Tonen2000 is not responsible for any accidents, robbery or other incidents during the festival.

12. All correspondence is done via the administration of Tonen2000 by post or by e-mail.

13. Copyright issues concerning the music should be arranged by the choirs themselves.

14. Tonen2000 has the right to cancel the festival if the number of registrations is too low or or if financial resources are insufficient. Cancellation will be announced no later than 15 June, 2016.

15. In case of a cancellation of the festival  each choir will receive their fee back.

16. In case of a cancellation of the festivalTonen2000 is not liable for any additional expenses incurred by the choir.

17. In all cases not covered by these rules, Tonen2000 will make a final decision.

Registration

1. The administration must receive all registrations by 1 June 1st 2016 per post or per e-mail. Exceptions to this rule can be made in consultation with the board of Tonen2000.

2. Registration takes place exclusively via the registration form which can be downloaded from the website www.tonen2000.nl.

3. Tonen2000 selects the choirs based on their registration. The selected choirs will receive a confirmation per e-mail together with an invoice for the total entry fee. The participation is final after the payment is received on IBAN : NL20RABO0114217874 in the name of Tonen2000 ( BIC: RABO NL2U ) in Poeldijk. After receiving the payment, the organization will send the choir an official confirmation of participation.

4. All e-mail correspondence is exclusively conducted through info@tonen2000.nl.

5. Choirs wishing to register for Tonen2000 must provide the following information and / or documents by post or e-mail:

  • A fully completed and signed application form.
  • Abriefdescription of the choir in English, with some highlights (maximum 250 words).
  • Curriculum Vitae of the conductor in English.
  • Two recent photographs of the choir and conductor in jpg format.
  • A recent sound recording

Program requirements 

Secular and Sacred music 

  • At least four compositions / maximum five compositions
  • A composition from the Middle Ages or the Renaissance.
  • A composition from the Romantic period.
  • A composition from the 20th or the 21st century.
  • One or two composition of your own choice.
  • The program is conducted in the order mentioned above, a capella.
  • At least 16 minutes and up to 20 minutes of music.
  • Maximum duration of the performance 25 minutes.
  • Program content preferably  from your country.

Folklore 

  • At least 16 minutes and up to 20 minutes of music.
  • Maximum duration of the performance 25 minutes.
  • Repertoire in the folk music category, optionally with accompaniment.
  • Program content preferably from your home country.

1. The choir determines the order of the compositions. The final order must be sent to the administration by e-mail by1 August, 2016.

2. The repertoire for the festival should be specified in the repertoire form, which will be provided by e-mail after registration.

3. The choir should provide copies of preferably original music score of each composition it will perform during the festival. You may either send four copies of each composition to the administration of Tonen 2000 or e-mail scanned copies. The same requirements apply to the Folklore competition, where possible.

Opening Concert

  • During the opening concert each participating choir has the opportunity to present themselves to the public.
  • The length of the performance depends on the number of participating choirs and will be announced later.
  • Preferably at least one composition from your country.
  • Choirs may perform a composition of their choice.

 

Final Concert

  • Participation in the final concert is reserved for prize-winning choirs.
  • The repertoire to perform in the final concert will be determined in consultation with the choir, the artistic committee and the international jury.

Church Service

  • The choir can make suggestions of the repertoire to be performed during a church service. The repertoire should be specified in the Church Service form which will be provided by e-mail after registration.
  • The definite program will be determined in consultation with the church.

Jury

1. The international jury consists of three members.

2. The head of the jury administration is the artistic director.

3. The jury evaluates the choirs and submits the final ranking for each competition element.

4. All participating choirs will receive a written evaluation of each jury member.

5. The decision of the jury is final.

6. No correspondence relating to the competition will be entered into.

Reception and accommodation of participating choirs 

1. Each choir is required to register upon their arrival at the WestlandTheater De Naald (Stokdijkkade 3, 2671 GW Naaldwijk). Registration is possible starting from 14:00 on Thursday 29 September .

2. Choirs have an option to stay in a hotel, holiday home or with host families. The accommodation expenses must be covered by the choir. The choice of accommodation should be specified in the accommodation form which will be provided by e-mail after registration for the participation in the festival.

3. Choirs are free to arrange other accommodation themselves for their stay during the festival.

4. Tonen2000 has arranged a catering service during the festival. Choirs are required to sign up for the catering in advance. Catering expenses must be covered by the choir. The choice of meals should be specified in the form provided by e-mail after registration for the festival.

5. Choirs are free to arrange other catering themselves during the festival.

6. Each choir will receive a choral accompanist for the duration of the festival. The choir can contact their choir accompanist before the festival starts.

7. The choirs must arrange and finance their trip to and from the festival.
Transport from the airport in The Netherlands to Westland and from Westland back to the airport can be arranged by Tonen2000. The transport fee has to be paid by the choir.

8. For choirs without own transport (bus): Transport during the festival, to and from different venues will be arranged by Tonen2000. This transport is free of charge.

Overall winner prize : € 1000,-

Winner Secular music: €  500,-

Winner Sacred music : €  500,-

Winner Folklore music : €  500,-

Jos Vranken Prize for the best conductor : €  250,-

Winner Audience Award : €  250,-

1. The winners of the awards are determined by the jury.
2. The winner of the Audience Award is determined by the public by ballot.
